About the role
We're hiring a part-time operations assistant to be the right hand of an entrepreneur running several businesses across healthcare services, real estate, and technology. You'll keep the books, calendar, and follow-ups under control, own one or two ongoing projects outright, and handle occasional in-person work based around the Denver Tech Center.
This is a part-time hybrid role. Expect approximately 15 to 20 hours a week; hours may fluctuate based on demand. It suits someone who likes variety, works well from a short brief, and wants real responsibility without a full-time schedule. We're open to both seasoned operators and earlier-career candidates who execute well; the scope will grow with the person.
What you'll do
Every week
- Manage the calendar across several businesses: scheduling, rescheduling, and protecting focus time.
- Triage the inbox, draft routine replies, and flag what needs a decision.
- Prepare for meetings with agendas, background, and documents, then track the follow-ups that come out of them.
- Keep the books current in QuickBooks Online: categorizing transactions, tracking invoices and bills, and reconciling accounts.
- Keep a single task list current across all ventures and run a short weekly planning check-in.
Projects you'll own
- Take full ownership of one or two ongoing workstreams, such as tracking deliverables from partners and teams.
- Move them forward between check-ins and report status without being chased.
In person, as needed
- Meet in person weekly to discuss planning. Then all work can be done remote.
- As needed: run errands, meet contractors, vendors, partners
On request
- Research, document drafting, travel booking, and personal admin.
Who you are
Must have
- Experience supporting a busy founder, executive, or small-business owner, or running operations for a small office or practice.
- Clear, professional writing. You can draft an email that goes out under someone else's name.
- Strong organization and follow-through across several unrelated projects at once.
- Comfort acting on incomplete information and asking smart questions instead of waiting.
- Discretion with confidential business, financial, and healthcare-related information.
- Fluency with Google Workspace or Microsoft 365 and willingness to learn new tools quickly.
- Familiarity with bookkeeping, ideally in QuickBooks Online.
- A reliable vehicle, valid driver's license, and clean driving record.
Nice to have
- Background in operations, project management or startup operations.
- Experience with project management tools.
- Familiarity with HIPAA or handling sensitive records.
- Familiarity with software development.
- Proficiency with AI tools.
If you're experienced, you'll have room to run things and push back. If you're earlier in your career, you'll get close mentorship and a growing scope.
To apply, send your resume and a short note to the email below answering two questions:
- Tell us about a time you kept several unrelated projects moving at once. What system did you use?
- Describe a task you've sped up using AI tools. What did you use, and how did it help?
- Describe your bookkeeping experience.
- References upon request
