About the Role

Elite Fuels Transportation, Inc. is seeking a detail-oriented, organized, and dependable Billing Operations Specialist to support the daily functions of both our Dispatch Operations and Billing departments.

This cross-functional position will be cross-trained in Dispatch and Billing and will play an important role in ensuring information flows accurately from customer order entry and delivery coordination through completed delivery documentation and customer invoicing.

Because successful billing depends on accurate information and documentation originating from Dispatch, this position will help identify missing information, resolve discrepancies, and ensure completed deliveries are ready to be billed accurately and on time.

The ideal candidate is comfortable working in a fast-paced transportation environment, has strong attention to detail, and understands the importance of accurate documentation and communication throughout the entire order-to-delivery-to-invoice process.

Key Responsibilities

• Order & Delivery Support: Receive, enter, and review customer fuel orders; verify order details and coordinate with customers, Dispatch, and drivers regarding delivery requirements, scheduling, and updates.
• Customer & Driver Communication: Provide professional and timely communication regarding order status, delivery changes, delays, documentation needs, and service-related issues.
• Billing Readiness: Review completed deliveries to ensure all required operational information and supporting documentation are complete and accurate before billing.
• Delivery Documentation: Review delivery tickets, Bills of Lading (BOLs), Proofs of Delivery (PODs), and other transportation records; work with Dispatch, drivers, and Operations to obtain missing or corrected documentation.
• Billing & Invoicing: Process transportation billing data and customer invoices while verifying delivery quantities, pricing, freight charges, fuel surcharges, customer rates, and supporting documentation.
• Reconciliation & Discrepancy Resolution: Reconcile invoices against delivery records, contracts, and rate agreements; investigate and resolve discrepancies involving quantities, rates, charges, or missing information.
• Dispatch & Billing Coordination: Serve as a key connection between Dispatch and Billing by identifying operational or documentation issues that could delay invoicing and helping resolve them before they reach the final billing stage.
• Reporting & Department Support: Maintain accurate records and assist with billing reports, month-end activities, reconciliations, and additional Dispatch or Billing support as needed.

Qualifications

• 2+ years of experience in transportation, logistics, dispatch, billing, accounts receivable, or a related operational role.
• Fuel transportation or petroleum industry experience is strongly preferred. Candidates with experience in fuel hauling, petroleum distribution, trucking, or transportation billing will receive strong consideration.
• Experience with transportation billing and delivery documentation, including BOLs, PODs, delivery tickets, freight rates, fuel surcharges, customer rates, and resolving billing discrepancies is highly preferred.
• Strong attention to detail, organization, data-entry accuracy, problem-solving, and ability to manage multiple time-sensitive priorities in a fast-paced transportation environment.
• Proficiency with Microsoft Excel, Word, and Outlook; experience with QuickBooks, Creative Energies, dispatch, GPS, or transportation management systems is a plus.

Candidates with direct fuel transportation, petroleum, trucking, or transportation billing experience will receive strong consideration.

Success in this position means customer orders are entered correctly, delivery information is accurate, required documentation is complete, discrepancies are identified early, and completed deliveries reach Billing with the information needed to invoice customers accurately and on time.
