Client Operations Manager

Our client is a fast-growing financial firm whose prospective clients frequently discover them through their popular YouTube channel, reaching out for expert guidance with their retirement planning. As the Client and Operations Manager, you will serve as the heartbeat of that journeyguiding prospective clients from their very first inquiry, prepping advisors for high-impact meetings, and keeping post-meeting follow-ups moving seamlessly.

This isn't just a scheduling position. Our client is looking for a proactive professional who can take ownership of the client experience and operational flowthinking three steps ahead, anticipating advisor and client needs, and making sure nothing falls through the cracks.

What You'll Do

• Guide the Client Journey: Field incoming prospective-client inquiries via phone, email, and text, gathering initial details with a warm, professional touch.
• Master Meeting Logistics: Coordinate advisor calendars, manage appointments, send confirmations, and handle scheduling updates.
• Drive Meeting Prep & Follow-Up: Collect required documentation, prepare advisors for upcoming client meetings, track prospects through each stage, and coordinate post-meeting next steps.
• Keep Operations Moving: Maintain accurate CRM records, track outstanding action items, and help refine internal office procedures as the firm continues to expand.
• Collaborate Across Teams: Work closely with advisors, sales staff, and admin team members to ensure a smooth experience for both clients and the internal team.

• Background Experience: Prior experience in client services, operations, office management, financial services, insurance, wealth management, or sales support is a big plus!
