Job Description
We are looking for a detail-oriented Payroll Specialist to support weekly payroll operations for a construction-focused organization in Santa Rosa, California. This role works closely with the payroll team to help ensure accurate employee pay, maintain payroll records, and address discrepancies in a timely manner. The ideal candidate brings hands-on payroll experience, understands union payroll practices, and can manage multiple deadlines while contributing to a cooperative team environment.

Responsibilities:
• Support weekly payroll processing by reviewing time records, preparing payroll data, and helping finalize pay runs with a high degree of accuracy.
• Examine timecard and change reports, identify inconsistencies, and confirm information is correct before entering or uploading it into payroll systems.
• Assist with certified payroll activities and help maintain compliance with union agreements and payroll-related regulations.
• Process electronic wage payments and help ensure transactions are completed on schedule.
• Partner with field supervisors and internal team members to investigate payroll questions and resolve timekeeping or pay discrepancies promptly.
• Provide backup coverage for essential payroll tasks, including union reporting and other time-sensitive payroll functions.
• Maintain organized payroll documentation and records to support audits, reporting needs, and internal controls.
• Contribute to process improvement efforts by assisting payroll leadership with initiatives that increase efficiency and accuracy.

• At least 2 years of payroll experience, with prior exposure to full-cycle payroll processing preferred.

• Experience with union payroll in the construction industry is strongly preferred.

• High school diploma required; additional coursework in accounting, business, or a related area is a plus.

• Proficiency with Microsoft Office applications, especially Excel, along with experience using payroll or construction software such as Spectrum/Viewpoint Spectrum.

• Strong attention to detail and the ability to manage payroll data accurately in a deadline-driven environment.

• Solid problem-solving and analytical skills, with the ability to handle multiple priorities and make sound decisions.

• Ability to handle sensitive information with discretion and maintain confidentiality at all times.

• Must be able to successfully complete pre-employment screening requirements, which may include background and drug testing.
