BUILD, LLC is a general contracting firm committed to building quality commercial and residential spaces designed to stand the test of time. We are seeking an entry-level Administrative Assistant to serve as the front-of-house contact for our construction office. This position is responsible for greeting visitors, answering phones, supporting daily office operations, and assisting with general administrative tasks in a professional and organized manner.

The ideal candidate will play an important role in supporting the smooth operation of our office while providing administrative assistance to senior leadership, project managers, and field staff. Key Responsibilities:
- Greet visitors to BUILD, LLC headquarters and maintain a professional, welcoming office environment.
- Serve as the first point of contact for incoming calls, emails, visitors, and general inquiries; determine needs and direct communications accordingly.
- Perform general office duties, including calendar management, scheduling, data entry, and physical and digital filing.
- Maintain a clean, organized, and well-stocked office environment, including office supplies, kitchen areas, conference rooms, and copy areas.
- Support front-of-house operations, including managing office displays, opening and closing the Naples headquarters office, posting holiday door signs, and maintaining an elevated office appearance.
- Receive, sort, and distribute incoming mail, deliveries, and packages.
- Prepare outgoing mail, shipments, and courier packages.
- Manage conference room schedules and assist with conference room maintenance.
- Support the project coordinator with document preparation for condominium projects during construction season.
- Work closely with the project coordinator to schedule utility service providers according to project timelines.
- Assist project managers and superintendents with printing and retrieving project plans.
- Perform other administrative duties as assigned.
Qualifications & Skills:
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, with an interest in learning new systems.
- Exceptional written and verbal communication skills.
- Strong organizational and time management skills.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong administrative skills with excellent attention to detail.
- Familiarity with construction management software, such as Procore, is a plus.
- Ability to lift and carry items weighing up to 25 pounds.
