Maple Grove Wellness & Rehabilitation in Fenton, MO, is looking for a Payroll & Human Resources Coordinator to join our team!

This is an opportunity for an HR-minded professional who can balance accurate payroll processing with the day-to-day responsibilities of human resources in a skilled nursing facility. From employee relations and recruitment to onboarding, compliance, and benefits administration, you'll play an important role in supporting our employees and facility leadership.

Position Overview

The Payroll & Human Resources Coordinator is responsible for coordinating payroll processing and supporting a broad range of human resources functions in accordance with company policies, applicable state and federal laws, and facility procedures.

This position requires strong HR knowledge, sound judgment, attention to detail, and the ability to handle confidential employee information professionally. The ideal candidate is comfortable working with employees and leadership, managing competing priorities, and ensuring payroll and HR tasks are completed accurately and on time.

Key Responsibilities

Human Resources & Employee Relations

  • Support day-to-day human resources operations and employee-related needs.

  • Assist with employee relations matters, including investigations, performance management, progressive discipline, suspensions, and terminations.

  • Maintain accurate and confidential personnel files and HR records.

  • Document disciplinary actions and other employee-related activities according to company procedures.

  • Support compliance with applicable federal, state, and local employment regulations.

  • Review employee licenses, certifications, Hepatitis B documentation, TB records, and other required credentials to ensure records remain current.

  • Assist with compensation changes, merit increases, employee status updates, and other employment-related changes.

  • Act as a resource for employees and facility leadership while maintaining professionalism and confidentiality.

Recruitment, Hiring & Onboarding

  • Partner with hiring managers to identify staffing needs and recruitment priorities.

  • Review applications, prescreen candidates, coordinate interviews, and recommend qualified applicants for consideration.

  • Complete pre-employment screenings and employment verifications according to established procedures.

  • Coordinate the hiring and onboarding process for new and rehired employees.

  • Support new hire orientation and ensure required employment documentation is completed.

  • Maintain recruitment, onboarding, and retention records.

  • Help support employee appreciation and recognition programs.

Payroll Processing & Timekeeping

  • Prepare and process semi-monthly payroll accurately and on schedule.

  • Manage daily, weekly, and pay-period payroll responsibilities in accordance with established procedures.

  • Review timekeeping records and distribute reports to department heads for review and correction.

  • Enter approved timekeeping edits and verify payroll information for accuracy.

  • Reconcile payroll prior to transmission and validate finalized payroll reports.

  • Process payroll variables, including overtime, shift differentials, on-call pay, employee status changes, and other applicable adjustments.

  • Ensure new and rehired employees are entered into the payroll system accurately and on time.

  • Update payroll records for changes to employee pay, job information, and personal information.

  • Maintain accurate payroll records and support payroll reporting requirements.

  • Follow applicable wage and hour regulations and company payroll policies.

Benefits, Compliance & Administrative Support

  • Support the administration and communication of employee benefits programs.

  • Assist with ensuring compliance with company pay and benefits policies.

  • Help communicate benefit programs, policies, and procedures to employees.

  • Participate in unemployment hearings and assist with unemployment claims as needed.

  • Support workers' compensation-related processes and documentation.

  • Serve as a resource for the Human Resources Manager and act on their behalf when they are unavailable.

  • Perform other HR, payroll, and administrative duties as assigned.

QualificationsRequired Qualifications
  • High school diploma or equivalent.

  • Payroll experience

  • Strong understanding of human resources practices, employee relations, and workplace confidentiality.

  • Knowledge of applicable federal, state, and local employment regulations.

  • Proficiency in Microsoft Excel and payroll software systems.

  • Strong attention to detail and a high level of accuracy.

  • Ability to handle sensitive and confidential employee information with professionalism.

  • Strong organizational, communication, and problem-solving skills.

  • Ability to manage multiple priorities and meet payroll and HR deadlines.

Preferred Qualifications
  • Previous experience in human resources within skilled nursing, long-term care, healthcare, or a similar regulated environment.

  • Experience with employee relations, investigations, progressive discipline, and performance management.

  • Experience with recruitment, onboarding, and new hire orientation.

  • Experience with benefits administration, workers' compensation, and unemployment claims.

  • Associate degree in Human Resources, Business Administration, Accounting, or a related field.

  • Experience with payroll systems and timekeeping software.
