The Bilingual Preshool Clerk works directly and collaboratively with the Preschool Evaluation Liaison throughout the evaluation process; responsible for gathering pertinent information from parents, school districts, Early Intervention Service Coordinators, and healthcare providers beginning the evaluation process. The clerk assigns evaluations to various providers for assessment (occupational therapists, special educators, physical therapists, speech/language/feeding therapists, and translators). The clerk tracks all incoming evaluations and other necessary paperwork to facilitate the completion of the 30-day evaluation process.
In addition, the clerk monitors and forwards the paperwork requirements involving evaluations, and billing (STAC) for students receiving services under CPSE (Committee on Preschool Special Education) through Metro Therapy, Inc. The clerk is available to assist with translations as needed. The clerk is also responsible for corresponding with the county as needed. The clerk assists the Liaison in any of the preschool evaluation activities as needed. This position serves Children approved for preschool special education evaluations or services through the CPSE (Committee on Preschool Special Education) of school districts through Nassau and Suffolk Counties, NY.
RESPONSIBILITIES/ACCOUNTABILITIES:
Completes Intake form with all components; updates Intake with any changes throughout evaluation process by communicating with the family, doctor, providers, and others to obtain necessary information.
Assigns evaluators to the case including Interpreter (as needed) on the intake.
Assists in the scheduling of evaluations when Spanish interpretation is required.
Communicates with evaluation providers throughout the evaluation process as needed.
Enters data for a new child and saves documentation pertaining to referrals for record keeping and billing purposes.
Assists and collaborates with the CPSE Evaluation Liaison to organize and maintain tracking measures.
Documents, maintains a record, and informs the CPSE Evaluation Liaison of all communications with anyone outside Metro Therapy (districts administrators and staff, DOH personnel, families, etc.) for reference when needed.
Organizes, prepares and sends Evaluations Packet to Parent and District in a timely matter.
Monitors compliance and adhere to Metro and CPSE protocols and timelines.
Addresses any corrections pertaining to data entry in Metwin and Time Tracker with the billing department.
Assists the billing department with communicating to districts for issues pertaining to billing errors.
Completes Medicaid lists sent 2x's per year from Suffolk DOH.
Provides interpretation for Spanish evaluations as needed.
Picks up and drops off mail daily from the post office.
Assists in answering and directing calls as needed.
Meets current objectives and completes daily tasks and assignments.

Follows all guidelines pertaining to standards of attendance and punctuality. Responsible for reporting to and completing work at assigned times.
Performs other duties as assigned.
Complies with applicable legal requirements, standards, policies and procedures including but not limited to those within the Compliance and Ethics Program, Standard/Code of Conduct, Federal False Claims Act and HIPAA.
Participates in required orientation and training programs.
Promptly reports concerns and suspected incidences of non-compliance to supervisor, Compliance Liaison or to the Compliance Officer via the Integrity Hotline.
Cooperates with monitoring and audit functions and investigations.
Participates, as requested, in quality assurance and process improvement activities.
