Job Description
The Business Office Assistant/Medical Records Coordinator supports the daily financial and administrative operations. This role works closely with the Business Office Manager to ensure accurate billing, resident account management, and compliance with regulatory requirements. Medical Records is responsible for organizing, maintaining, and securing all resident medical records in compliance with federal, state, and facility regulations. Ideal candidates are detail-oriented, organized, experienced in healthcare billing or office administration as well as ensures accuracy, timeliness, and confidentiality of documentation to support quality care and legal compliance in a skilled nursing facility setting.
Responsibilities
- Oversee and/or processing of accounts payable
- Oversee resident billing and accounts receivable
- Assisting corporate accounting team with month end close and preparation of financial statements
- Support department heads and other managers in their administrative duties
- Prepares charts for new admissions.
- • Consults with staff to help define and analyze information needed from the clinical
- record.
- Develops a schedule for audits of the clinical record.
- Conducts audits of the clinical record as scheduled.
- Maintains the computerized physician order program and monitors physician visit schedule.
- Assists as required in communications with appropriate staff to facilitate completion and accuracy of the clinical record.
- Develops and maintains a tracking system to ensure telephone orders are signed promptly.
- Processes transfer or discharge records and maintains appropriate clinical records on former residents.
- Prepares clinical records for legal proceedings.
- Assist in organizing and planning the medical records section in accordance with established policies and procedures.
- Other duties as assigned.
Qualifications
- Minimum of Associates degree in business or accounting. Prefer Bachelor's Degree in Business Administration/Accounting.
- 2+ years of management or supervisory experience.
- Benefits administration experience is highly preferred.
- Excellent customer service and communication skills (good with employees, residents, and their families).
- A love of seniors and a desire to go above and beyond in their service.
